Microsoft Outlook for macOS
Description
Version 16.93 runs natively on both Apple Silicon and 64-bit Intel Macs. It pulls personal, work and school accounts into a single window — something Mail and Calendar keep separate.
- What accounts does it take? Outlook.com, Microsoft 365, Gmail, Yahoo, plus any standard POP or IMAP account.
- Is it truly native for Mac? Yes. It is built for macOS and enhanced for Apple silicon, not a lazy port.
- Does it replace Mail and Calendar? It merges both into one interface, so you see appointments alongside your inbox without switching apps.
- What macOS do I need? macOS 13 Ventura or later. Older systems are out of luck.
You get one place for email and calendar without juggling two built-in apps. Worth it if you use multiple account types and want them in the same window.
Right-click a date to turn an email into a calendar event
A few small behaviours in Outlook for Mac save real time, but they are not shouted about.
- Right-click any date in an email to create a calendar event instantly. Outlook copies the message text into the event notes. No copy-paste dance required.
- Three-finger swipe left on a message marks it as read. Three-finger swipe right archives it. This works on trackpads and Magic Mouse.
- Type
/in the To: field and the focus jumps straight to the Cc: line. A tiny thing that saves tabbing around when you are in a hurry. - Drag a message to the calendar icon in the left nav bar. Outlook creates a new meeting with the recipients already filled in and the subject as the meeting title.
The Profiles feature sits in the menu bar — click the profile icon to switch which accounts show at any moment. Handy for keeping work inbox quiet on weekends without logging out of anything.
Three recurring headaches and the quickest fixes
Outlook for Mac is not bug-free. Here are three recurring headaches and the quickest fixes.
Search returns nothing, or old results
Spotlight integration sometimes falls behind. If Outlook search shows nothing for a message you know exists, force a reindex: quit Outlook, open System Settings > Siri & Spotlight > Spotlight Privacy, drag your Outlook profile folder in, wait a minute, then remove it. Restart Outlook. Search should behave again.
Gmail account keeps asking for a password
If you use two-factor authentication, Outlook occasionally loses its OAuth token. Remove the account (Outlook > Settings > Accounts), restart the app, then add it back. On the Google sign-in page, tick “Select all” when asked which permissions to grant. That stops the nag for most people.
Notifications show for the wrong profile
macOS Focus modes and Outlook Profiles can fight each other. If you get work alerts while a personal profile is active, check Outlook > Settings > Notifications and make sure the notification style is set per account, not globally. Then match it to your Focus settings in System Settings.
Jan juggles timetabling, a Microsoft 365 account and a legacy POP list
Jan runs timetabling for a biology department. She manages a departmental Microsoft 365 account, a personal Gmail and an old POP account for a legacy mailing list. Before switching to Outlook for Mac, she had Mail and Calendar open side by side, copying meeting requests manually.
Now she arrives at her desk, sees the calendar panel next to her inbox, and spots a clash between a lecture and a safety training she forgot. She right-clicks the training email, picks “Create event”, adjusts the time, and sends an updated invitation to the lab technicians — all inside forty seconds. When a colleague emails a PDF floor plan, she drags the message onto the calendar icon and books a room walk-through without leaving the app.
Mid-morning, she switches to her personal profile to confirm a dentist appointment that sits in Gmail. The work inbox dims out of view. No new notifications. By lunch she has handled room bookings, rescheduled two meetings and cleared the overnight backlog — without once opening a web browser or a separate calendar window.
